Check-in guests at your event

This article shows you how you can check in your guests at your event with our check-in system.

You can check-in guests who have purchased your tickets when they arrive at your event, with our check-in platform!

You can use this with, or instead of, our Google Sheets integration.

Access the check in app

To access the check-in app:

  1. Go to your event overview of your page and click Check in guests

2. This opens the check-in app in a new tab where you’ll see a full list of all registered guests.

Anyone on your team with access to your account can open the event overview and launch the check-in app from there.

On the top left corner, you will see:

  • the event name
  • the event time and date
  • the number of guests and how many have checked in

Search for guests

Search by name & email

You can search for your guest by their name and/or email address in the search bar.

Search by ticket code

In the search bar, you can also search a guest by their ticket code. While a guest may have purchased many tickets, each ticket will have a unique code.

Search by order ID

In the search bar, you can also search a guest by their order ID. Each purchase will have a unique order ID, even if a guest purchases many tickets within one order.

Check in your guests

All guests who haven't yet checked in will be located under the "All guests" tab and their status will be "pending".

Manual check-in

Click a guest to check them in. A pop-up will appear with the following information:

  • The guest's name
  • The guest's email address
  • The type of ticket purchased (example: general)
  • The ticket code
  • The order ID
  • The date and time that the guest purchased the ticket(s)

Click Check in to check-in your guest.

QR code check-in

You can also check your guests into your event by scanning the QR code ticket that they will receive with their confirmation email or can download from the customer portal.

The QR code scanner is accessed from the top right corner of the check-in app on your laptop or phone.

Scanning the QR will prompt a pop-up with the following information:

  • The guest's name
  • The guest's email address
  • The type of ticket purchased (example: general)
  • The ticket code
  • The order ID
  • The date and time that the guest purchased the ticket

Click Check in to check-in your guest.

Pro tip: enable your flash if you are scanning QR codes in the dark.

Check out your guests

All guests who have already checked in will be located under the "Checked in" tab and their status will be "Checked in", along with how long ago they've checked in.

You can always see how many guests (from your total amount of guests) have checked in on the top left corner no matter where you are on the platform.

Manual check-out

You may need to check-out your guests when they leave the event.

Click a checked-in guest (which will exist under both tabs) to check them out. A pop-up will appear with the following information:

  • The guest's name
  • The guest's email address
  • The type of ticket purchased (example: general)
  • The ticket code
  • The order ID
  • The date and time that the guest purchased the ticket(s)
  • How long ago they've checked in
  • The date and time of their check-in
  • The method of how they've checked-in

Click Check out to check-out your guest.

QR code check-out

You can scan the ticket QR code to check a guest out with your laptop or phone if they are already checked in.

You can scan to check them out whether they are checked in manually or by QR code.

Scanning the QR code will prompt a pop-up that asks you to check them out.

Click Check out to check-out your guest.

Pro tip: enable your flash if you are scanning QR codes in the dark.

Show history

You can see the check-in and check-out history for guests who are currently checked-in under the "Checked in" tab.

  1. Click on a guest to see a pop-up of the purchase information
  2. Click Show history that is located on the bottom of the pop-up
  3. The guest's check-in and check-out history will appear

The history will show:

  • The check-in
  • The check-out
  • The date and time of the check-in and out
  • How they were checked in and out (manually or by QR scanning)
  • Who checked them in and out

Test bookings

You can test the process using test bookings if you'd like to get comfortable before the big day.

To make a test booking:

  1. Go to your test bookings and click Test check in guests.

2. You will be taken to a test environment of the check-in platform where you’ll see a list of all test guests. This is where you and your team can practice check-ins ahead of the event.
