How to manually add an event booking

Learn how to create an event booking for a guest, issue complimentary tickets, and record payments collected outside Checkout Page.

What is a manual booking?

A manual booking is an event booking that you create for a guest from the Checkout Page dashboard. The guest does not need to complete the event checkout themselves.

You can use manual bookings to collect payment separately by invoice or on arrival, or issue complimentary tickets.

All team members can add manual bookings. After a booking is added, the guest receives their tickets and a confirmation email.

What types of manual bookings can I add?

You can add three types of manual booking.

Invoice bookings

An invoice booking issues the tickets immediately with payment due by invoice.

The booking is created with an unpaid balance. An invoice is generated and emailed to the guest automatically.

After receiving payment outside Checkout Page, you can record one or more partial payments or the full payment from the booking.

Cash-on-delivery bookings

A cash-on-delivery booking issues the tickets immediately with payment due when the guest arrives.

The booking remains unpaid until you collect and record the payment.

Complimentary bookings

A complimentary booking provides the selected tickets free of charge. The tickets are issued at no cost and sent with the confirmation email.

Use this option when you want to add a guest without collecting payment, such as an invited guest or event staff member.

Complimentary bookings count towards ticket availability but do not count towards event revenue.

No online payment is processed when you create any of these manual bookings.

How do I add a booking?

  1. Go to Event ticketing → Events.
  2. Open the event you want to add the booking to.
  3. Click Add booking in the top-right corner.
  4. Under Tickets, choose the quantity of each ticket type.
  5. Enter the guest’s name, email address, billing address, and any other required information.
  6. To apply a discount, search for and select an existing coupon.
  7. Under Payment, select Invoice, Cash on delivery, or Complimentary.
  8. To save additional information with the booking, open Additional settings and add query parameters.
  9. Click Add booking.

Only ticket types with an On sale status can be added. Manual bookings respect the available quantity of each ticket type and the event’s maximum capacity.

Any applicable booking fees are included in the booking total.

How do I apply a coupon?

You can apply an existing coupon when creating an invoice or cash-on-delivery booking:

  1. Click Search coupons.
  2. Search for or select the coupon.
  3. Continue completing the booking.

The coupon discount is included in the booking total.

How do I add query parameters?

Query parameters let you save additional customer, product, or tracking information with the booking.

  1. Open Additional settings.
  2. Click Add parameter.
  3. Enter the parameter’s key and value.
  4. Repeat these steps to add more parameters.

What happens after I add the booking?

After you click Add booking:

  • The booking appears under the event’s Bookings tab.
  • The guest receives a confirmation email and their tickets.
  • Each ticket has its own ticket code.
  • The booking’s total and payment status appear in the dashboard.
  • The tickets count towards the event’s ticket sales and availability.
  • Invoice and cash-on-delivery bookings remain Unpaid until payment is recorded.
  • Complimentary bookings do not contribute to event revenue.
  • Configured integrations, webhooks, and notifications run for the booking.

How do I record a payment?

Use Record payment after receiving payment for an invoice or cash-on-delivery booking.

Recording a payment does not charge the guest. It records a payment that you collected outside Checkout Page.

  1. Open the event.
  2. Go to Bookings.
  3. Open the unpaid booking.
  4. Click Record payment.
  5. Enter the amount received.
  6. Click Save.

You can record multiple partial payments or one full payment. After a partial payment, the remaining balance continues to appear as the amount due.

After the full amount is recorded, the amount due changes to zero and the booking status changes to Paid.
